Terms and Conditions of Ticket Sales for the World Design Congress 2025
Organiser: The Design Council, United Kingdom
Event Dates: 9 and 10 September 2025
Event Location: Barbican Centre, London, United Kingdom, or on the World Design Congress 2025 online platform for Online ticket holders.
DECLARATION OF CONSENT
By purchasing a ticket to the Event, the Buyer gives consent for the Design Council and its subsidiaries to collect, process and use personal data for the purposes of processing the purchase tickets and for any other use, including the importation of contact information.
This information will be used for the purposes of processing ticket sales and compiling delegate lists and to improve the system for enhanced networking opportunities and tailored content at the Event. If you do not wish for your name, or any other required information to appear on your delegate badge, please email the Organiser at congress@designcouncil.org.uk.
The Design Council reserves the right to amend these terms and conditions at any time and without prior notice.
1. Definitions
- "Buyer": An individual or entity purchasing a ticket to the Event.
- "Delegate": The named attendee at the Event.
- "Event": The World Design Congress 2025 organised by The Design Council, UK, between 9-10 September 2025.
- "Event Organiser": The Design Council.
- "Host Country": Refers to the United Kingdom of Great Britain and Northern Ireland.
- "Personal Information": Data that identifies the Buyer or attendee, including but not limited to name, address, email, phone number, and payment details.
- "Ticket": A document granting the holder the right to attend the Event.
- "Website": World Design Congress 2025, where tickets are sold.
2. Participant Obligations
2.1. Registration
- Any Delegate substitutions can be actioned via a written request to the Organiser at worlddesigncongress2025@getvfairs.io
- Registration and amendments can be guaranteed from the launch date of the registration site eight months prior to the Event, until 18:00 BST on Thursday 4 September 2025.
- The Buyer and/or Delegate is responsible for entering personal details correctly when booking and updating the online profile details ahead of arrival at the Event.
2.2. Travel & Accommodation
- Any travel and accommodation arrangements and costs associated with the Event are the responsibility of Delegates.
- The Organiser recommends that Delegates purchase adequate personal health and travel insurance for the duration of their time attending the Event.
- Delegates with food allergies or specific dietary requirements should include this information in their registration details and exercise caution with provided meals at the Event.
2.3. Entry to Host Country
- Registration for the Event does not guarantee entry to the Host Country.
- Delegates are responsible for ensuring they hold a valid passport and obtain any required visas for the Host Country. Please check visa requirements well in advance of travel through official resources.
- The Host Country’s government reserves the right to deny entry to those who do not meet the requirements or are otherwise restricted under applicable laws and regulations.
2.4 Preparation & Professional Conduct
- The Organiser will communicate registration procedures, agenda updates, and logistical details to Delegates. Delegates are expected to read and act on these communications by the stated deadlines.
- Delegates should abide by professional conduct and any applicable policies governing the Event.
2.5 Privacy and Consent to Event Photography and Recording
By registering for and attending the Event you acknowledge and agree to the following:
- Photography and Recording: The Design Council may take photographs, audio recordings, and video recordings during the Event for promotional, educational, and informational purposes. By attending the Event, you consent to the use of your image, likeness, and voice in such recordings without compensation or further notice.
- Usage of Materials: Photographs and recordings taken during the Event may be used in marketing materials, social media, websites, and other media platforms associated with The Design Council and/or the World Design Organization.
- Opting Out: If you do not wish to appear in photographs or recordings, please notify the Design Council in advance at congress@designcouncil.org.uk or upon arrival at the event. Reasonable efforts will be made to accommodate your request, but participation in certain sessions or areas may imply consent.
- Data Collection and Privacy: In line with our obligations under UK GDPR law, the Design Council may collect and process personal information in accordance with its Privacy Policy. By registering for the Event, you agree to the terms of the Privacy Policy and consent to the use of your personal data for event-related purposes, including communication and follow-up and the Terms of Service of the event web platform vFairs.
3. Organiser’s Obligations
3.1. Confidentiality
- The Organiser will retain personal information submitted during registration solely for operational purposes and will not share it with third parties without consent.
3.2. Cancellation and Postponement
- The Organiser reserves the right to cancel or postpone the Event, modify the venue or timeline, or change the programme and speaker list without prior notice.
- Refunds or alternative arrangements will be offered in cases of cancellation or postponement.
3.3. Right to Exclude
- The Design Council reserves the right to exclude any persons from the Event in accordance with the Event Location’s code of conduct.
4. Ticket Purchase
4.1. Eligibility:
- Tickets may be purchased by individuals or entities with the legal capacity to enter into binding agreements. Delegates must be over the age of 18.
- Tickets purchased for 'Student Day 1 Pass (9 September 2025)' or 'Student Day 2 Pass (10 September 2025)' are only valid with a student ID, which will be required for entry.
4.2. Payment:
- Payments must be made via the Website.
- Tickets are issued only after full payment is received.
4.3. Third-Party Payment Processing
- Payment processing for ticket purchases is handled by a third-party service, Stripe, Inc. By completing a transaction on our website, you agree to be bound by Stripe’s Terms of Service and Privacy Policy, which govern the payment process.
- The Design Council is not responsible for any issues, delays, or errors arising from the use of Stripe’s services. For any payment-related inquiries, we recommend reviewing Stripe's policies or contacting them directly.
- By using our website to purchase tickets, you acknowledge and accept that the Design Council does not store your payment information, as this is managed securely by Stripe.
4.4. Ticket Delivery:
- Tickets will be sent electronically to the email address provided during purchase.
4.5. Design Council Book Add On:
- Buyers who also purchase “Eight Decades of Design: Design Council 1944-Today" must collect their copy at the World Design Congress Event by showing their ticket.
5. Ticket Use
5.1. Each Ticket admits one named ticket holder to the Event.
5.2. Tickets are transferable with prior approval from the Organiser. See 2.1 b.
5.3. Tickets are valid only for the date(s) noted on your ticket.
5.4. To gain entry to the event, ticket holders must be able to show a valid form of identification for health and safety reasons.
6. Refunds and Cancellations
6.1. Ticket sales are final, and refunds are not provided except in cases of Event cancellation by the Organiser. In the event that you can no longer attend the Event, your ticket can be transferred to another individual (see 2.1 b). The new ticket holder must log in and complete their personal data in order for the transfer to be complete and a new ticket issued.
6.2 Donations made to the Design Council as a registered charity are non-refundable.
6.3 In the event that you are not able to attend the event but have purchased the “Eight Decades of British Design: Design Council 1944-Today" book, you will be issued with a full refund for the cost of the book.
In the event that the Event is cancelled at any point after its commencement, refunds may be provided to the Buyer, except in the instance of force majeure.
If for any reason the online event is unable to live stream correctly, online attendees will be issued with a recording of the event after the event and will not be liable for a refund.
7. Limitation of Liability
The Organiser is not liable for any loss, damage, or theft of personal belongings at the Event, nor any personal injury or illness except as caused by the Organiser’s gross negligence.
8. Governing Law
These Terms are governed by the laws of England and Wales.
